A day with it

7.40am, a plant room in Peterborough

An engineer is commissioning an air handling unit he has not worked on before. He asks his phone: "What's the commissioning procedure for the AHU at the Fenland site?" The agent reads the answer back from the O&M manual and posts the relevant pages into his Teams chat. He never rings the office.

11.15am, a practice in Kent

A practice manager is covering for a colleague and needs the group's radiography protocol before an afternoon audit. She types the question into Teams. The agent returns the current protocol, notes it was updated in March, and links the signed-off document. No shared-drive archaeology.

9.30pm, a factory floor on nights

A machine operator is changing line two over to a different stock size and cannot remember one setting. He asks, and the agent reads the changeover sheet back to him — the current one, with the amendment from last summer. The one person who knew it by heart is asleep, and stays asleep.

What it's trained on, and what it never does

What it works from

It is trained on your documents, with your permission: manuals, SOPs, policies, job records, handbooks — whatever you decide it should know. Access is controlled by role, so a site engineer and a director can be shown different material.

It stays current. When you update a document, the agent's answers update with it. Keeping the knowledge base in step with your paperwork is part of the monthly service, not your job.

What it will not do

It does not train public AI models on your data, and your documents are not shared with anyone else. Your material is used to answer your staff, and for nothing else.

It answers only from your documents. If the answer is not in them, it says "I don't know" and tells you where the gap is — it does not guess. An assistant that invents answers on a factory floor or in a plant room is worse than no assistant at all.

Setup

From document handover to live in Microsoft Teams is typically two to three weeks. Week one: we collect and prepare your documents and agree who can see what. Week two: the agent is trained, tested against questions your staff actually ask, and corrected. Then it goes live inside Teams, and we watch the first weeks of real questions to tune it.

There is no new software for your staff to install. If they can use Teams, they can use the agent from the first morning.


Pricing

A one-off setup fee covers document preparation, training, testing, and going live: from [SETUP_PRICE].

From there it runs under Censaas Managed, from [MONTHLY_PRICE] per month. That covers hosting, monitoring, all AI usage, and monthly improvement hours — including keeping the knowledge base in step with your documents.

The agent is sold with its upkeep. We do not hand over systems and disappear.

Where does our data live, and who can see it?

Your documents are stored in a private, access-controlled environment run by us in the UK/EU. They are not shared with other clients, not used to train public models, and access within your company is controlled by role. If you have a data processing agreement or security questionnaire, we will complete it before any document changes hands.

What happens to our documents if we stop using it?

They are yours. On cancellation we return everything we hold and then delete our copies, and we confirm the deletion in writing.

Do we need special Microsoft licences?

No. If your staff already use Microsoft Teams on standard business licences, the agent works inside it. If you are not a Teams business, talk to us — the agent can also run in a plain web and mobile interface.

How do answers stay current when documents change?

Updating the knowledge base is part of the monthly service. When you issue a new version of a procedure or manual, we take the old one out of circulation and the agent answers from the new one. You can also send documents to us as a running feed.

What if it gives a wrong answer?

Every answer cites its source document, so it can be checked in one click. If the source itself is out of date, that is a document problem the agent has just surfaced for you. And where it has no source, it says "I don't know" rather than improvising.

What if we leave Censaas?

You are not locked in. You own your documents and your data, the notice period is a month, and we hand everything back in an orderly way. We would rather keep clients by being useful than by being difficult to leave.
