The client
ConstructiPay provides payment management to UK construction firms — a world of payment applications, payless notices, and statutory deadlines where getting the paperwork wrong has direct legal and cash-flow consequences.
The problem
Payment cycles were being run on spreadsheets. Deadlines under the Construction Act were tracked by memory and calendar reminders, notices were drafted by hand, and when a dispute arose there was no single auditable record of who issued what, and when. The risk was not inefficiency; it was missing a statutory date.
What we built
A platform that structures the whole payment cycle. Contracts and their payment schedules are set up once; the system then tracks every application, certificate, and notice against its statutory deadline, generates the documents, and keeps a complete audit trail. Roles and permissions separate what a quantity surveyor, a director, and a client can each see and do. The build took six weeks, starting with a mapping of the regulatory requirements before any code was written.
What changed
Payment tracking moved from manual spreadsheet work to a structured system with the deadlines built in. Compliance stopped depending on individual vigilance, visibility stopped being fragmented across files and inboxes, and for the first time there was a full audit trail behind every payment decision — the thing you want to be holding if a dispute ever reaches formal proceedings.
