The client
Matchra runs interview scheduling for recruitment teams. The founders had watched hiring processes lose days — and sometimes candidates — to the email back-and-forth of finding a time.
The problem
Booking one interview routinely took five or six emails across two or three days. Coordinators spent their time as human calendars, candidates went quiet while waiting, and every reschedule restarted the whole exchange. None of this was skilled work; all of it was necessary work.
What we built
A system where both parties submit their availability once. It finds the overlap, books the slot, syncs with Google Calendar, and sends both sides an invite with a Google Meet link — within seconds of the match, not days. Recruiters see the progress of every vacancy's interview pipeline in one view. The build took five weeks with a team of two.
What changed
More than 1,000 interviews have been scheduled through the system. The email volley is gone: the elapsed time from "we'd like to interview you" to a confirmed calendar entry dropped from days to minutes, and reschedules reuse the same availability instead of restarting the conversation. It is a plain example of what we mean by workflow automation — no intelligence required, just a machine doing machine work.
